How to Respond to a Negative Review (With Examples)

Every negative review feels personal, and the instinct is to defend. But the audience that matters has no stake in who was right — they are simply assessing whether you handle problems like a professional.

Wait, then write short

Draft nothing within the first hour. Respond within one business day, but not while angry.

Keep it to three or four sentences: acknowledge, take a degree of ownership, offer to resolve offline, and stop. Long responses read as defensive no matter how reasonable the content.

Never share details

Correcting the record with specifics almost always backfires, and in healthcare or legal contexts it can create a compliance violation.

A neutral acknowledgment plus a direct contact route demonstrates far more competence than a rebuttal.

Know what qualifies for removal

Reviews that are spam, off-topic, from competitors, or aimed at the wrong business can be reported successfully. Genuine dissatisfaction cannot, and attempting it wastes time.

When removal is warranted, document it properly and escalate through the correct channel rather than mass-flagging.
